IT Staff Onboarding I.T Quick Guide for Business Use.
Password Usage and Security
1. Your Given Password: password is generic and created by Microsoft, you cannot change your own password, We will never ask you to change your password if you receive this email block it immediately and report it as spam in your outlook program.
2. Do Not Reuse: Do not use the given password elsewhere in any other external or internal password systems to prevent a single point of access for the hackers.
3. Do Not Email Passwords: Do not include any usernames or passwords to any logins to your business systems via email, or any other means, do not write down passwords or provide visibility to anyone even co workers of your passwords.


Two-Factor Authentication for Office 365
Make sure you have 2 factor enabled (its your responsibility!)
1. Download Authenticator App: Download and install the Microsoft Authenticator app on your mobile device. Follow the instructions online if setting up for first time Note: This is free
2. Enable Two-Step Verification: Go to Https://office.com follow the instructions for setting up Microsoft account as in point 1 and enable two-step verification.


Do’s and Don’ts Around Phishing Attacks
1. Do not click on suspicious links.
2. Do verify the sender’s email address.
3. Do not download or open unexpected attachments.
4. Do report phishing attempts to your IT department.


Business Computer Updates and Maintenance
If Prompted to update antivirus or windows update , do so at start or end of day as is recommended in case of crucial security. Reboot the computer if asked to do so by windows updates or antivirus programs.
(Remember to save and close your documents and programs before restarting computer)


Business Computer Usage
1. Business Only: Only use business computers for business-related work.
2. No Personal Use: Do not use business computers for personal tasks.
3. Secure Network: Always connect to secure and trusted networks. (Use a VPN program provided by your I.T staff when using public WIFI) if you do not have a VPN contact I.T if you need this requirement.
